FamilyLink User Guide

FamilyLink is an on-line tool that makes sharing information between you and your families simple.

Through a secure and private link using FamilyLink, family members can easily share information that flows directly your database. With FamilyLink families can:

  • Enter vitals and biographical information about the decedent, family and friends.

  • Share document and photos. (Note that electronic signatures can be collected through E-Signature, not FamilyLink.)

  • Stay on task with to-do lists that you can customize.

  • Write and submit an obituary.

  • Instant message with funeral home staff

  • Make payments using Epay.

FamilyLink Set up

Click on FamilyLink on the left menu bar to access the Summary Page.

  1. Lock Case or Lock Obituary so the family cannot make changes once they’ve entered the data.

    Enable E-pay can also be chosen if you have Epay Credit Cards and want to give families the option to make quick payment on FamilyLink.

  2. Assigned Family Tasks is displayed and updated when families check items off allowing you to view what still needs completed. 

    If they check off a task, it will update your screen. If you check off a task, it will update their screen. You can also remove tasks from this screen.

  3. An Obituary submitted by the family can be easily shared. Anything you enter here is shared with the family.

  4. Images and Forms View PDFs, PNGs and JPEGs uploaded by families in Virtual Files. You can share the same type files with family members by clicking the link icon next to the file name.

  5. Communication - You can communicate back and forth with the family in the Communication section.

    Uploaded documents by family members will also send a message on this screen.
    Notifications:
    Emails are sent to family members and Funeral Directions when a message is sent.

Manage Your Assigned Tasks - Create, Edit or Delete in SETTINGS

Create customized tasks to assign to your families. Go to Settings/FamilyLink. You’ll see a window displaying To-Do List Task Pool.

Click Create New Tasks (top right list of icons), name your task, then click Always add to all cases if you want it to appear on every case.

Do not check it if you want to add it manually for families with special or unique circumstances. For instance, special tasks you would only give for a deceased Veteran or something special to the specific case. You will add these tasks manually inside FamilyLink for each individual case. 

To Remove a Task: First click the task, then click Delete Task. If the task you want to remove has already been assigned to a case previously, you cannot delete this task altogether, but you can make it inactive so it never comes up as an option. You can make an inactive task active again.

To Edit a Task: Click the item, then click Edit Task to change the settings.

To Manually Add or Remove Tasks – Inside the Case

Once inside the case for the family, you can manually add or remove tasks easily.

Manually Add a Task: An example would be “Complete Veteran Forms.” You would not want that task to always appear as a task for all families, but you can easily pick it for families with a veteran.

  • Click the Plus Sign and all of your items that are not checked off as “Always Add” will appear in the pop-up window for you to pick manually.

  • Click Ok to add it to the Assigned Family Task List.


You can also click the Minus Sign to delete them from this screen. These items will be removed from the tasks that the families see on FamilyLink.


Invite Families to FamilyLink

You are now ready to get your families started! Simply start by sending family members an invitation.

In Family/Friends, select a name, and click the button below; Invite to FamilyLink. This will send an email to your family member with a link for them to register. Be sure you have their email listed.

FamilyLink Access for Family Members

After sending the link to a family member a link icon will appear next to their name to keep track of who has access. 


You have multiple options regarding giving access to your families. Click on the family member, then click on the Edit FamilyLink Access button:

  1. Resend FamilyLink Invitation - to send email invite again.

  2. View Link in Browser - to see what the family sees in your default browser

  3. Copy the link to Clipboard - to copy and paste the link into another browser, email, etc.

  4. Revoke FamilyLink Access - to remove access to Family Link. You can reinstate access at any time.

Families Username and Password

Forgotten Usernames: In Family/Friends, click the person’s name, and then click Edit FamilyLink Access below.

  1. You can see the Username registered.

  2. You can easily copy the Username if needed.

  3. Reset their Username and Password if needed.

Forgotten Passwords: You cannot see family member’s passwords. Family Members can reset their passwords on their own by clicking “Forget your Password?” on the log-in screen. Or you can choose to Reset Username and Password for them.

The Family Member Experience

Families are sent an email with a link to open FamilyLink. Note: this email message cannot be modified.

The link will open a secured webpage and new users will be asked to create a User Name and Password.

Once logged in, the Introduction message below appears. Family will click Begin your Session to start using FamilyLink.


First Session on Family Link

From here, families can see what information has already been entered by the funeral home and can begin to enter additional information about their loved one.

They can follow the top Navigation Bar to move between each section.

*Please note: Family members must hit Save and Continue to save their work on their current page.*

They can enter spouse, parent and additional Family & Friends information in this tab.

The Obituary section will allow a family to write obituary information and submit it to you. Whatever they type will save as a draft and is visible inside Procession by the funeral home. They do not have to Submit Final Copy until they feel it is complete. Once submitted, they won’t be able to edit it. You can also Lock/Unlock the obituary in Procession with the checkbox Lock Obit on FamilyLink.

Upload Forms and Images

Families can easily upload important documents or images directly into Virtual Files for the decedent. Only .jpeg, .png or .pdf files are accepted.

Uploaded files cannot be removed by family members, but the Funeral Home can always delete files from Virtual Files.

When they upload a document, the Funeral Home is notified in the Communication window via instant Message.

When Families Revisit FamilyLink

Anytime family members login after the first session on FamilyLink, it will open to the Summary screen.

  1. To-Do List - List of what biographical information is still needed

  2. Action and Tasks - Tasks that need to be completed by the family are identified. When they check off an item, it will be checked off on the list inside Procession for you to see.

  3. Arrangement information will be available for the family to see.

  4. Correspondence - Allows you and the family member to send messages back-and-forth. The Funeral Directors name and phone number will also display in the top right corner in case they need to be contacted by phone.

  5. Collect Payment Via Epay – If you are set up with Epay Credit Card payments, you can also collect payment from families on FamilyLink. It would appear on the bottom left of the Summary Page
