Managing The Rolodex
The system rolodex stores information on people, places and business and is easily managed via the rolodex page.
The rolodex is where contact information for places and people is stored in the system. A variety of categories can be added to the system to help organize the rolodex contacts.
Rolodex Categories
In the category selector, categories can be selected from the drop down list. Any people or places listed under that category will display in the contact list below the drop down.
Contacts can be searched for using the search bar at the bottom of the contact list and a toggle is also available below the search to show or hide inactive contacts.
To edit a category or add a new category, click the "Edit Category" button.
Whatever category is selected in the drop down list when you click the edit category button will open up in the edit window. In this window, Category name, display name and the type of contacts under that category can all be edited. once you have made your changes, click the save button. If you want to delete the category, click the delete button.
To add a new category, click the "New" button and blank fields will be displayed so that you can enter new information for the new category.
At the bottom of the page, a custom fields section is available where you can enter custom fields to add to entries in this category. Create a field name and select the type of field. Once saved, the field will display amongst the information entry fields for entries under this category.
Rolodex Contacts
Contacts can be edited once they are selected in the category list. Information regarding the contacts business name, name, address information and contact information can all be edited.
Custom fields for the contact will display in the custom field box if any custom fields are added to the category this contact is under.
Once information has been edited click the save button to save the changes to the system, a delete button is also available if a contact needs to be removed from the system and options to activate or de-activate the contact are also available.
To add a new contact to the system, click the "New" button and the contact fields will turn blank so that you can fill in information for the new contact.
To merge duplicate entries in the rolodex, the "Rolodex Clean Up" option can be used to match duplicate entries.
If a contact's category needs to be changed, the "Change This Contact's Category" button can be used to move the contact to a new category.
Rolodex Contact Export
An option is available at the bottom of the page to export the rolodex. This will generate a CSV file containing all the contacts within the rolodex.
