Cases FAQ

These are some commonly asked questions regarding cases in TMS.

How do I update the case status?

Click the status of a case on the cases page and options will be available to set a new status for the case.

What is the invoice/contract number in TMS?

The invoice/contract number is the same number as the Case Number in TMS.

How do I change the case status to "Lost"?

Make sure the contract is not posted and then click the edit button next to case status and select lost. The lost status will not display as an option if the contract on the case is posted.

How do I change a preneed case in the system to an atneed case?

Change the case status from Preneed using the three dots next to the word Preneed to In Progress. This will move it from Preneed to At Need.

How do I remove a case from my dashboard?

If you remove the staff member assigned to the case, it will remove the case from the assigned que on the dashboard.

How do I add churches and cemeteries to the system to be used on future cases?

On the left panel of the dashboard you can click on places to add places to your system. Always search first to make sure the place is not in the system.

How do I change the case location?

When editing a case, under the case info tab there is a location dropdown to set the location for the case.

Is there a way to indicate you have returned a call within the case?

By adding a note in case notes within a case. You can also say in inquiries that the it was completed.

Why is an old case still showing on my dashboard?

Assigned cases disappear 30 days after the last update. If anyone has gone into the case and saved a screen for anything, that is an update. Any update will cause it to still show even something small like adding a note etc.

Why did I lose information on a case?

Please be advised when multiple users are editing a page simultaneously, there's a risk of encountering saving errors or conflicts. This can result in unintended changes being saved or even loss of data. To ensure the integrity of your work and avoid potential setbacks, we highly recommend coordinating with the other staff to stagger editing sessions or establish clear communication protocols for simultaneous edits. By taking these precautions, you can minimize the chances of encountering saving errors and ensure that everyone's contributions are accurately reflected in the final fields.

Is there a way to search cases by birth date?

Currently we don't have that option. The decedent report includes birth dates. You can run the report and sort it by birth dates for easier organization.

Why isn't Final Resting Place showing up for a client on my website?
 
The disposition needs to be set as burial in the case and a cemetery/final resting place chosen in TMS. Once this is complete, a Final Resting place will show on the website obituary.
