Editing Cases

On the edit case page, case information can be changed, settings can be toggled and documents or contracts can be generated for the case.

The edit case page allows you to add or edit case information, change settings for a case, and a number of other things such as generating forms or contracts. On the right side of the screen, a preview of the current invoice is available along with options to view the statement document or view the invoice document in PDF format.

Below the invoice preview, options are also available to add case notes or send the case to a staff member.

Down the left hand side, there is a variety of tabs available where certain types of information can be added. Clicking a tab will open that section's inputs in the center of the case screen to be edited.

Many of the tabs down the left side are for entering various information about the decedent, services or other case related information. There are a few tabs that have more specific functionality which will be detailed below.

Preneed

If a case is preneed, this section is where you can set preneed related information. A dropdown is available to toggle whether the case is funded or unfunded. Below this dropdown there are a few different settings that can be toggled along with areas to add information about insurance, trust and cemetery plot information.

Once an insurance policy is added to the insurance policies section of this tab, the policy will be available to select as a payment option in the case financials area once the time comes to add a payment method to the case.

Disposition

The disposition tab is where you can select the type of disposition and add or edit information regarding the disposition. 

If cremation is selected as the type of disposition, a cremation authorization tab will be added to the bottom of the list on the left side. This section will allow you to generate a cremation authorization document for the family.

Cremation Authorization

If cremation is selected as the disposition type in the disposition section, this cremation authorization tab will be available. In this section, a cremation authorization form can be generated to be signed by the authorizing agent.

Before the cremation authorization can be sent out to be signed, all the required fields need to be filled in. Fill out all the necessary information in the various fields and once completed, click request e-signature at the bottom of the section to send out the authorization form. If you click request e-signature and get a validation error, double check the fields to make sure all the required fields are filled out. Any missing required fields will show a red error message to indicate they need to be filled out.

Family and Friends

The family and friends section allows you to add people to the case as family and friends of the decedent. This section also allows you to set a primary contact or next of kin for the case. Once a contact is added in the other family and friends area, you can click the person icon or the arrow icon to add them as the primary contact or next of kin.

Family Portal

The family portal allows for family members to add basic information to the case themselves.

A recipient can be added by typing the contact name in the recipient name field. If the person is in the system already they will show up as a contact to be selected. If they need to be added to the system, the plus icon at the end of the recipient name field can be clicked to add their contact information. Once a contact is selected, clicking the create new invitation button will send an email to that person to use the family portal.

The family portal will contain information already filled in if it is filled in the system already. The family can review the information to make corrections or add any new information that is needed.

Once an invitation has been sent, you will see the invitation listed under the invite section. Information showing when the invite was sent will be shown along with an option to remove the invitation.

Events

The events section allows you to enter events for the case that will display on the website. Any events that are currently added will display with an option to edit or delete the event via the pencil icon or x icon. To add a new event, simply click the Add Event button to add the event details.

On the event entry page, enter any relevant event information such as name, location and date/time of the event. There are also options available to hide the end time from the website, set family arrival time and set employee arrival time, along with options to add a livestream webcast URL or export the event to Tribute Print.

Staff members, vehicles and attendees can also be assigned to the event along with a section add any event notes.

Documents

In the documents section, documents can be attached to the case to have for reference, photos can be added and albums can be created or imported from the tribute wall. Under secure documents, files can be dropped in the outlined box to upload to the system. Any documents added here will not be accessed by any third parties, they are only contained to this section and can be downloaded anytime that you need them.

Under the photos area, photos can be dragged and dropped in the box to add them to the case. Photos that are uploaded here will not automatically get added to the website unless they are added to a public album.

In the albums area, both private and public photo albums can be added to the case. To add an album, simply click the New Album button at the top. An album of photos that are posted on the tribute wall can also be added by clicking the import tribute wall button. Existing albums will show a tag underneath the album name to indicate whether they are public or private.

When adding an album or editing an existing album, photos in the system will display along the bottom and can be added to the album via the plus icon under the photo. A name and description can be added for the album and the private or public text can be clicked to toggle between the public and private status for the album. Once you have made all your changes make sure to click save album at the top of the page.
